Contacts¶
The Contacts page provides a central directory of people on the platform. It allows supervisors to search, organise, import, and manage contacts used across communication channels.
Each contact record includes the following information:
- Name – First and last name of the contact.
- Email – Contact email address.
- Company – Organisation associated with the contact.
- Number – Phone number(s) linked to the contact.
- Group – Contact group used for organisation or access control.
- Labels – Custom tags assigned to the contact for categorisation.
Search contacts¶
Use the search field to quickly locate contacts by name, email address, company, or phone number.
Filter contacts¶
Filters help narrow down the list of contacts. You can filter by:
- Company
- Group
- Labels
Manage contact labels¶
Select multiple contacts to assign or unassign labels in bulk. This helps categorise contacts for reporting or internal organisation.
Import contacts from CSV¶
Contacts can be imported from a .csv (Comma-Separated Values) file.
- Click Import or export.
- Click Import CSV.
- Drag and drop the file into the upload area or browse your device to select the file. The maximum allowed file size is 2 MB.
- Click Import after the file is uploaded.
- Preview columns mapping to contact fields. Click Save to finish importing contacts.
Supported file formats:
- Basic format: "Email,First name,Last name,Company,Phone,Mobile,Group,Labels"
- Extended format: ("Email,First name,Last name,Company,Phone 1,Phone 2,Phone 3,Mobile 1,Mobile 2,Mobile 3,Group,Labels")
- The system also supports files exported from Google Contacts and Microsoft Outlook.
Export contacts to CSV¶
Click Import or export > Export to CSV to download the current list of contacts as a CSV file. Exported data reflects the currently applied filters.
Add new contact¶
To create a new contact:
- Click + Add contact.
- Enter the contact details:
- First name
- Last name
- Company
- Group – Select an existing group or enter a name to create a new group.
- Global Contact – Determines contact visibility. ON means the contact is available to all users in the organisation. OFF – select a Contact Owner to assign the contact to a specific user.
- Phone number(s) – Optionally enter Speed Dial.
- Mobile number(s) – Optionally enter Speed Dial.
- Labels – Assign or unassign labels
- Notes – Add a private note to the contact.
- Click Save.
Edit or delete contact¶
To update or delete a contact:
- Click the three-dot menu (⋮) next to the contact.
- Click Edit to update available contact details (see above).
- Click Delete to remove the contact from the directory.
